Unifying global document management across multiple geographies
Where they started
A global specialty insurer provides cover to businesses and individuals worldwide from offices across the UK, Europe, South Africa and Australia. The process of quoting, providing policies and managing claims generates a large number of paper and electronic documents each year. With staff located across the globe and external brokers and claims handlers to share content with, managing documents had become technically challenging and time-consuming.
Underwriting and Claims were using separate document management solutions — including iManage, SharePoint and network file shares. Claims team members had to wait 24 hours to save documents against claims workspaces. There was no standardised way of uploading, searching for or retrieving documents, no single sign-on across systems, no links between policy and related claim documents, and no direct link between the core underwriting and claims application (Iris) and the document management solutions.
What we did
After researching several solutions and completing an extensive tender process, the insurer selected Imagefast to implement a new document management solution based on Microsoft SharePoint with tight integration to their core line-of-business application, Iris. The solution automates the creation of policy and claim sites within SharePoint when a client record is created in Iris.
Each policy and claim site provides a document library with check-out/check-in version control, an advanced search function to easily find and open sites and documents, related sites links to navigate between connected policies and claims, and a customisable real-time data view from Iris — allowing end-users to view core policy and client data alongside their documents in one place.
The results
The Imagefast solution delivered a number of clearly measurable business benefits:
- Efficiency — A single unified solution for managing policy and claim documentation has streamlined the way Underwriters and Claims Handling teams work and share information, improving efficiencies across the business.
- Accessibility — Employees at all levels can now search for and access information and documents relating to policies and claims through one easy-to-use interface via the browser and mobile devices.
- Process improvement — The time taken to upload and work with documents has been reduced significantly to seconds, thanks to automation and the streamlined interface.
- End-user adoption — The insurer saw a 50% increase in documents uploaded to the new SharePoint solution over the previous system, driven by the accessibility and efficiency improvements.
