Transforming underwriting workflows with intelligent process automation
Where they started
Talbot Underwriting operates within the Lloyd's Insurance Market through multiple syndicates. Their underwriting team needed clear visibility of where each piece of work stood in the pipeline, but their legacy workflow system was letting them down.
The existing solution was performing poorly. It wasn't delivering the business or cost efficiencies the team needed, and it wasn't flexible enough to adapt when the business changed. With regulatory demands growing and policy volumes increasing, something had to give.
“The Workflow initiative formed an integral part of a programme of activities to improve the effectiveness of how Talbot operates. We now have a solution that is faster than our legacy solution and one which can be changed a lot more easily.”
— Michael Gould, Chief Operating Officer, Talbot Underwriting
What we did
We worked with the Talbot team to understand exactly where the legacy system was failing and what underwriters actually needed day to day. Rather than imposing a generic solution, we designed a powerful, flexible, web-based workflow built on K2 process management software.
The solution was structured around one case per Policy, MTA, or Pre-Bind — giving every team member clear visibility of where each piece of work stood. A rules engine drove dynamic, flexible workflows that could accept events from the core underwriting platform, while a configurable dashboard gave each user a real-time view of their tasks and remaining SLA time.
Document management integration meant all incoming slips and documents were indexed into the DMS and surfaced through a single, user-friendly case form. A built-in peer review mechanism provided risk-based quality checks, with all query management and communications logged for a full audit trail. Since launch, the platform has accommodated new offices, new document types and new business rules — without costly redevelopment or impact to live users.
The results
The Imagefast solution delivered a number of clearly measurable business benefits:
- Automation & performance — Response times were greatly improved, with automated workflows accelerating the entire underwriting lifecycle.
- Efficiency — A single unified solution for underwriting streamlined the way the team processes policies and MTAs.
- Compliance — The system logs all activities, drives QA and peer review processes, and provides a full audit trail for every policy or MTA.
- Adaptability — The business has full control of thresholds, SLAs and user assignment, giving them the ability to respond to change quickly.
- Flexibility — Since launch, the solution has accommodated new offices, new document types and new business rules — without excessive cost or impact to live users.
- Management information — The platform captures MI data that supports both tactical and strategic business decision-making.
- Externally supported — The solution is supported by Imagefast on a managed application service, reducing the internal IT burden.
